Sending out annual tax statements is a very important part of donor engagement. DonorDock supports several ways to print or email contribution statements.



Sending Contribution Statements in Bulk

To send or print all contribution statements for a year at one time:

1. Click on Reports in the main navigation. 

2. In the gift reports listing locate the Contribution Statements reports. Click on Contributation Statements.

3. The system will automatically set the dates to the previous calendar year, but you can adjust the settings to select any date range.

4. Enter a gift threshold - this is the cumulative gift amount within the date range you selected that will include donors. If you choose $250.00, for example, only donors who have given at least $250.00 cumulatively during the timeframe will be included on the report. The default of $0.00 will include all donors who gave during the timeframe. Select the types of gifts you would like to include. Default is donations only, but you can also include memberships and/or event tickets.

5. Click Run Report.

6. Once the report has run you can choose to save a PDF, allowing you to print and mail the statements. You can also choose to email the statements (this will only send to those contacts who have a valid email address). This will allow you to specify what DonorDock user the statements should be emailed from, the subject of the email and a personal message that will be included at the top of the emailed statement.


Sending a Contribution Statements to a Single Donor

To send or print a contribution statement for a single donor:

1. Click on Contacts in the main navigation. 

2. Search for the contact you would like to send a statement. Click on the contact's name to view their profile page.

3. Click on the three vertical dots in the upper right corner, next to the Add button and choose Contribution Statement.

4. The system will automatically set the dates to the previous calendar year, but you can adjust the settings to select any date range.

5. Click Run Report.

6. Once the report has run you can choose to save a PDF, allowing you to print and mail the statement. You can also choose to email the statement (this will only send to the contact if they have a valid email address). This will allow you to specify what DonorDock user the statement should be emailed from, the subject of the email and a personal message that will be included at the top of the emailed statement.


Sending Contribution Statements based on a list of gifts

To send or print all contribution statements for a year at one time:

1. Click on Reports in the main navigation. 

2. In the gift reports listing run any gift report, or create a new gift report. Set your filters to load the list of gifts you would like to send statements for and click Run Report.  In the Receipts menu, choose Statements.

3. Once the report has run you can choose to save a PDF, allowing you to print and mail the statements. You can also choose to email the statements (this will only send to those contacts who have a valid email address). This will allow you to specify what DonorDock user the statements should be emailed from, the subject of the email and a personal message that will be included at the top of the emailed statement.
